Privacy Policy
How Dreambody Pilates Studio handles your information.
Dreambody Pilates Studio respects your privacy. This policy explains what personal information we collect when you visit our website, book a class or become a member, how we use it, and the choices you have.
1. Who we are
Dreambody Pilates Studio ("Dreambody", "we", "us" or "our") is a reformer Pilates studio in Winter Haven, Florida.
- 350 Cypress Gardens Blvd., Winter Haven, FL 33880
- hello@dreambodypilateswh.com
- 863 282 5976
This policy covers dreambodypilateswh.com and the bookings, memberships and class services we provide.
2. Information we collect
We collect only what we need to run the studio and look after you in class.
- Details you give us. Your name, email address, phone number, date of birth, emergency contact and any notes you choose to share when you create an account, book a class, buy a membership, sign a waiver or contact us.
- Health and injury information. Anything you tell us about injuries, pregnancy, medical conditions or physical limitations, whether on an intake form, in a waiver or verbally to an instructor. See section 5.
- Booking and attendance records. The classes you book, attend, cancel or waitlist, your membership tier, credits and renewal dates.
- Payment information. Your billing details and a record of what you paid and when. We do not collect or store your full card number. See section 4.
- Website information. Standard technical data such as IP address, browser type, device type, pages viewed and referring site, recorded automatically when you visit, as part of normal web hosting. See section 6.
- Messages. Emails, texts, form submissions and social media messages you send us.
We do not buy personal information about you from data brokers.
3. How we use your information
- To take and manage your bookings, memberships, credits and waitlists.
- To take payment and issue receipts, refunds and account statements.
- To teach you safely and adapt exercises to your body.
- To contact you about a class you have booked, a change to the timetable, a closure or a problem with your account.
- To answer your enquiries.
- To send you studio news, offers and event invitations, where you have asked to receive them or are an existing client. You can opt out at any time.
- To understand how the website is used so we can improve it.
- To keep records we are required to keep, to enforce our terms, and to establish or defend legal claims.
We do not sell your personal information, and we do not share it with third parties for their own marketing.
4. Booking and payments
Our class schedule, memberships, member accounts and checkout run on WellnessLiving, a third-party studio management platform. When you create an account, book a class or buy a membership, the information you enter is submitted to WellnessLiving and held on its systems as well as ours.
Card payments are processed by WellnessLiving's payment provider. Dreambody never sees or stores your full card number, expiry date or security code. We see only the information we need to identify the transaction, such as the amount, the date and the last four digits of the card.
WellnessLiving handles your information under its own privacy policy and terms. We would encourage you to read them, as they govern the parts of your account that live on their platform.
5. Health and injury information
Health information is sensitive, and we treat it that way.
We ask about injuries, pregnancy and medical conditions for one reason only: so your instructor can keep you safe and adjust the work to suit you. That information is seen only by studio staff who need it to teach you. It is not used for marketing, it is not sold, and it is not shared outside the studio except where you ask us to, or where the law requires it.
Please note that a fitness studio is not generally a "covered entity" under HIPAA, so the health information you give us is not HIPAA-protected health information. It is still confidential to us and handled with care.
You are never obliged to tell us anything about your health. If you choose not to, we may not be able to adapt a class safely for you, and we may ask you to speak with your doctor first.
6. Cookies and website analytics
Our website uses cookies and similar technologies only where they are strictly necessary to make the site work, keep it secure and remember your preferences. We do not use analytics or advertising cookies.
Pages that show the class timetable or the membership checkout load content from WellnessLiving, which may set its own cookies.
You can block or delete cookies in your browser settings. If you block strictly necessary cookies, parts of the site may not work properly. Most browsers also offer a "Do Not Track" setting; there is currently no agreed industry standard for responding to it, so we do not respond to it at this time.
7. How we share information
We share personal information only in these situations:
- Service providers. Companies that run parts of our operation for us, such as WellnessLiving (bookings, memberships and payments), our payment processor, our website host, our email provider and our website agency. They may use your information only to provide that service to us.
- Instructors and studio staff, to the extent they need it to teach and look after you.
- Professional advisers, such as our accountant or lawyers, where necessary.
- Legal reasons. Where we are required to by law, court order or a valid request from a public authority, or where we need to protect our rights, our property, or the safety of our clients or staff.
- A business transfer. If the studio is sold or reorganised, client records may transfer as part of that transaction.
8. How long we keep information
We keep your account and booking records for as long as you are a client and for a reasonable period afterwards, so that we can deal with questions, disputes, refunds and our own legal and tax obligations. Waivers and health forms are kept for as long as they may be needed to establish or defend a claim. When information is no longer needed, we delete it or make it anonymous.
9. Your choices and your rights
- Marketing. You can unsubscribe from marketing emails using the link in any message, or by contacting us. We will still send you service messages about bookings and your account.
- Access and correction. You can ask us for a copy of the personal information we hold about you, and ask us to correct anything that is wrong. Much of it you can view and edit yourself in your member account.
- Deletion. You can ask us to delete your personal information. We may need to keep some records where the law requires it, or where we need them for a legitimate business reason such as an unresolved payment.
- Complaints. If you are unhappy with how we have handled your information, please contact us first so that we can put it right.
Depending on where you live, you may have additional rights under your state's privacy law. Contact us and we will tell you what applies and help you exercise them. We will not discriminate against you for exercising any privacy right.
10. Security
We take reasonable steps to protect your information, including limiting access to those who need it, using reputable providers for bookings and payments, and securing our website with encryption in transit. No website or system is completely secure, so we cannot guarantee absolute security, but we take the responsibility seriously.
11. Children's privacy
Our website and services are intended for adults. We do not knowingly collect personal information from children under 13. Clients under 18 must have a parent or guardian complete the waiver and consent to their participation. If you believe a child has given us personal information, please contact us and we will delete it.
12. Links to other sites
Our website links to other sites, including WellnessLiving and our social media pages. We are not responsible for their content or their privacy practices, and this policy does not apply to them.
13. Changes to this policy
We may update this policy from time to time. When we do, we will change the effective date at the top. If the changes are significant, we will let clients know by email or a notice on the website.
